Artists Studio Company: Privacy Statement & Policy
What information we collect and how we collect it
Artists Studio Company Ltd (ASC Studios) will be what’s known as the ‘Controller’ of the personal data you provide to us. We collect only the basic personal data you give to us. This does not include any special types of online analysis or location based information. This does however include basic information including your name, address, phone, email etc. As an ASC tenant, we will also collect some financial information and sensitive personal information.
Includes information you provide:
- When you subscribe to the ASC Gallery and/or ASC Studios mailing list
- When you register to our waiting list
- When specifying your marketing preferences
- When you join as a tenant, for the purpose of administering your tenancy
- Any information contained in emails and other communications you send to us
All information we collect is provided by you directly.
Why we need your information and how we use it
The personal data we collect is processed by our staff in the UK. For the purposes of IT hosting and maintenance this information is securely held. No third parties have access to your personal data unless the law allows them to do so. We have a Data Protection Policy in place to oversee the effective and secure processing of your personal data.
If you are a current tenant at ASC:
- Ebulletin with news about events, open studios, exhibitions and opportunities, which you receive automatically as a tenant. You are able to unsubscribe at any time
- For administration of your tenancy agreement
- Announcements about the studio, including maintenance, news and updates
- For equal opportunities monitoring/auditing, soon to be wholly anonymous
- For general announcements and to improve our services
If you are a past tenant of ASC:
- When vacating, you will be asked if you would like to continue to receive news from us and will be given the opportunity to subscribe to the ASC Gallery and/or ASC Studios Mailing lists. You can update your subscription settings at any time, or unsubscribe and your details will be deleted permanently
If you are on the ASC waiting list at:
- To communicate with you about availability, shares, to arrange viewings, news about new buildings and developments
If you have subscribed to the ASC Gallery mailing list:
- Publicity, promotion and announcements about exhibitions, gallery events, project space exhibitions and events, education and outreach and to fulfil legal obligations
- For general announcements and to improve our services
If you have subscribed to the ASC Studios mailing list:
- Publicity, promotion and announcements about open studio events, new studios and developments, project spaces, education and outreach and to fulfil legal obligations
- For general announcements and to improve our services
We will not collect personal data from you we do not need in order to fulfil this.
How long do we keep it
If you are a current tenant at ASC:
- We keep the data provided for the duration of your tenancy and then for 6 years once you vacate, in line with our data retention policy, after which time your data will be deleted permanently
If you are a past tenant of ASC:
- We will keep data provided for 6 years after you vacate, in line with our data retention policy, after which time your data will be deleted
- When vacating, you will be asked if you would like to continue to receive news from us and will be given the opportunity to subscribe to the ASC Gallery and/or ASC Studios Mailing list. You can update your subscription settings at any time, or unsubscribe and your details will be deleted permanently
If you are on the ASC waiting list at:
- Your basic information (email address and name) we use for studio vacancy notifications will be kept with us until you notify us that you no longer wish to receive this information
- If you unsubscribe from the waiting list your data will be deleted permanently. You are welcome to re-register at any time. Please note that in doing this you lose your position and will be considered newly registered
If you have subscribed to the ASC Gallery and/or the ASC Studios mailing list:
- Your contact information (email address and name if provided) will be kept with us until you notify us that you no longer wish to receive news from us. You can edit your content preferences by following the link on our newsletters.
What are your rights?
If at any point you believe the information we hold for you is incorrect, you can contact ASC Studios and request to see this information, have it corrected or have it deleted. You can update your subscription preferences or unsubscribe at any time, using the link in the footer of any email from us, or by contacting us at privacy@ascstudios.co.uk.
If you wish to raise a complaint on how we have handled your personal data, you can contact us at privacy@ascstudios.co.uk. If you are not satisfied with our response or believe we are processing your personal data illegally you can take up a complaint with the Information Commissioner’s Office (ICO).
